Preamble

This privacy policy is intended to inform you how REUNION VISION SPORT, operating the "Réunion Tri Tour" event, whose registered office is located at 194D Chemin Pierre Deguigné, Piton, 97424 Saint-Leu, collects and processes your personal data in the course of its activity. As such, REUNION VISION SPORT is considered the data controller.

1. Definitions

  • Personal data: any information that makes it possible to identify, directly or indirectly, a natural person.
  • Data controller: the natural or legal person who determines the purposes and means of the processing.
  • GDPR: the General Data Protection Regulation, which came into force on 25 May 2018.
  • Processing of personal data: any operation performed on such data, whatever the process used (collection, recording, organisation, storage, adaptation, modification, etc.).
  • Processor: the natural or legal person who processes personal data on behalf of the data controller.

2. Legal basis for processing

When you contact us via the contact or coaching form on the website, the processing of your data is based on the legitimate interest of REUNION VISION SPORT in responding to your request.

Where a contractual relationship is entered into and certain processing is necessary to perform the contract, the legal basis for such processing is the performance of the contract. Finally, some processing may be based on the legitimate interest pursued by REUNION VISION SPORT, provided that the interests and rights of the data subject do not override it.

Communications sent to registered athletes (practical pre-race information: bib collection, courses, aid stations, schedules, etc.) are based on the performance of the contract: they are necessary for the smooth running of the event. If we inform you about our future editions, this is based on our legitimate interest in keeping past participants informed; you may object at any time using the unsubscribe link included in every email.

3. Nature of the personal data collected

Via the contact form (and the coaching form) on the website, we collect only:

  • your email address;
  • the content of your message.

Race registrations are carried out on the platform of our provider Finishers, and volunteer registrations via a Google Forms form: the corresponding data (surname, first name, email, telephone, date of birth, etc.) is collected directly by these providers, on their own platforms and under their own privacy policies. REUNION VISION SPORT is a recipient of this data in its capacity as organiser.

To send our communications to participants, we use the contact details (surname, first name, email address) provided when you registered for the race.

We may also collect personal data during our exchanges by email, telephone or post; in such cases, the data collected is limited to what is necessary to handle your request.

4. Purposes of processing

The information collected enables us in particular to:

  • manage registrations for the various races (via our providers);
  • send you the practical information needed for the smooth running of the race (pre-race communications);
  • respond to your contact or information requests, by email, telephone or any other means of communication;
  • manage the relationship that may result from it.

5. Retention period of personal data

We retain your personal data for as long as necessary to fulfil the purposes described, namely:

  • 3 years from the last contact for a prospect;
  • 5 years from registration for a race.

6. Recipients of the personal data

The data collected is used by authorised staff within REUNION VISION SPORT. It may be passed on to our processors, who provide services on our behalf, only to the extent necessary to carry out their tasks:

  • Brevo — delivery of the emails sent from the contact forms and of communications to participants;
  • Finishers — management of race registrations;
  • Google Forms — management of volunteer registrations;
  • OVHcloud — hosting of the website.

We undertake to supervise these processors in order to guarantee the security and confidentiality of your personal data.

7. Cookies and trackers

The website www.reuniontritour.com does not place any cookie and does not use any audience-measurement or tracking tool.

The website does not integrate any third-party tracking service: the fonts are hosted directly on our server, so that no data is transmitted to third parties while you browse. To learn more about cookies and how to manage them, you can visit the French data-protection authority (CNIL) page: cnil.fr/fr/cookies-les-outils-pour-les-maitriser.

One single exception, on the “Results” page: the race rankings are published by our timing provider through the RaceResult service (my.raceresult.com and my2.raceresult.com). That service is never loaded automatically: it is loaded only after you click the “Show the results” button. Only at that point is your IP address sent to RaceResult, which may set its own cookies. Until you click, no data leaves our website.

8. Hosting

Your personal data is hosted in our databases or in those of our service providers, which are located within the European Union.

9. Security of personal data

REUNION VISION SPORT takes care to protect and secure the data you provide. We have put in place physical, electronic and organisational protection measures to prevent any loss, unauthorised access, misuse or unauthorised disclosure of your personal data.

10. Your rights and how to exercise them

As a data subject, you have the following rights at any time:

  • Right of access: obtain a copy of the personal data we hold about you.
  • Right to rectification: have any inaccurate personal data corrected.
  • Right to erasure: have all or part of the data concerning you erased.
  • Right to object: object, on legitimate grounds, to processing.
  • Right to restriction of processing.
  • Right to portability of your data.
  • Right to lodge a complaint with the competent supervisory authority (the CNIL) if you believe your rights are not being respected.

To exercise these rights, contact us via the website's contact page or by email at contact@reuniontritour.com. Your request will be handled within one month of receipt (a period that may be extended depending on the complexity of the request). In principle, no payment will be required; however, if requests are manifestly excessive or unfounded, REUNION VISION SPORT reserves the right not to act on them or to charge a fee based on the costs incurred.

This document may be updated to reflect changes in the website and the services offered. We therefore recommend that you consult this page regularly to stay informed of the conditions under which we process your personal data.
